Task 2: Simulated situational conversation.

Mr.Brown: Susan, could you check my schedule for next week?

Susan: Yes, of course. On Monday you are to sign the contract with ABC Company at 10 o'clock.

Mr.Brown: Fine. What about Tuesday?

Susan: On Tuesday morning you're going to attend the sales meeting at 9:30 and meet sales representatives in the afternoon.

Mr.Brown: What about my Shanghai trip?

Susan: You'll fly to Shanghai at 2:45 Wednesday afternoon. During your stay in Shanghai,you'll attend the conference on Thursday and survey the market on Friday morning. Your flight back to Guangzhou is 10:15 Saturday morning.

Mr.Brown: So I'm free on Wednesday morning and Friday afternoon. Right?

Susan: Not on Wednesday morning. You'll meet Mr.Zhao, one of our suppliers, at 8:30.

Mr.Brown: Thanks, Susan.

Susan: Don't mention it.

Jennifer: Good morning, sir. May I help you?

Mr.Green: Yes, I'd like to see the manager. Here's my card.

Jennifer: Thank you, Mr.Green. Do you have an appointment?

Mr.Green: No, I'm afraid I don't. Is it possible for him to see me now?

Jennifer: I'm afraid Mr.Zhou is engaged at the moment. Would you mind waiting?

Mr.Green: Well, how long will it be?

Jennifer: About half an hour.

Mr.Green: That's too bad. I can't wait that long. I have another appointment at ten.

Jennifer: Can the Assistant Manager meet you instead?

Mr.Green: No, I have discussed the details about sales of our new computers with him on the telephone yesterday. I doubt if anyone else would know about the matter.

Jennifer: Do you want to make another appointment?

Mr.Green: Yes, I suppose that's the best thing I can do now. I'll be here on Friday morning,9 o'clock. Is that all right?

Helen: Bill, could I borrow you for a few seconds?

Bill: Sure. What's the problem?

Helen: Mr. Black asked me to file all the reports of last quarter. You know I am new here. I'm not quite familiar with the filing system. Can you help me?

Bill: Yes, of course. Do you know how filing systems usually work?

Helen: Yes. Files are usually arranged in alphabetical order, by number or numerical order, by date or chronological order, and so on.

Bill: Great. Then do you know how our filing system works?

Helen: I'm not quite sure.

Bill: We arrange files in alphabetical order.

Helen: So I have to file all the reports alphabetically?

Bill: You are right.

Helen: Thank you, Bill.

Bill: Don't mention it.

Receptionist: Good morning, sir. Can I be of any assistance?

Mr.Black: Good morning, miss. Can I see Mr.Wilson now?

Receptionist: Do you have an appointment?

Mr.Black: Yes. I have an appointment with him at 10:00.

Good morning, everyone. Welcome to ABC Company. I'm Anna Brooks, the secretary to the General manager. It's a great honor for me to tell you something about filing. I think you all know that filing is one of the important duties of a secretary and different companies have different filing systems. I'd like to introduce the filing system of our company from the following three aspects. First, what should be filed? The documents that are sent or received by other people or organizations should be filed. These documents can be letters, memos, reports, financial records, policy documents, etc. Second, the equipment we use for filing. We usually use filing cabinet, steel cabinet, date stamp, register, filing shelves and box file for filing. Third, the common methods of filing. There are five methods of filing: they are filing by subject or category, in alphabetical order, by number or numerical order, by place or geographical order and by date or chronological order. But in our company alphabetical filing system is most commonly used. I hope you all are familiar with this filing system. Any questions so far?
